Privacy policy

This privacy policy sets out the basis on which the Association of British Science Writers (ABSW) will collect and process information you provide to us, as well as our use of cookies on our website, which we own and operate. ABSW exists to improve the quality of science journalism in the UK and to help those who practice it. ABSW will only collect and use personal data in ways that are described here, and in a manner that is consistent with our obligations and your rights under the law. 1. What data we collect

Depending upon your use of our site, we may collect some or all of the following personal and non-personal data. Those applying for membership are required to supply:

  • Name

  • Email address

  • Occupation;

  • Company

  • Location (city and country)

  • Relevant experience or qualifications

  • Biography

Prospective members are also asked for other information that is clearly marked "optional".

Non-members visiting the site are not required to input any information, and ABSW does not store visitors' user data. ABSW uses cookies only to store information about your current session such as which pages you have visited and whether you have logged in, as described in the official documentation for Joomla, the content management system we use.

2. How we use your data

ABSW complies with the legal requirements set out under the General Data Protection Regulation (GDPR) and the new UK Data Protection Act 2018 (once adopted), and follows the guidance issued by the UK Information Commissioner's Office.

Our use of your personal data will always have a lawful basis, either because it is necessary for us to serve you or because you have consented to our use of your personal data (for example, by subscribing to a mailing list or joining as a member). Specifically, we may use your data for the following purposes:

  • Send you regular newsletters about ABSW activities and providing information from other relevant organisations such as jobs in science writing/journalism and awards, scholarships, training events, and conferences. The ABSW uses Mailchimp to send newsletters, and your name and email address are stored in a Mailchimp mailing list.

  • Contact you regarding your membership status and outstanding dues.

  • Invite you to events.

  • Create attendee lists for our events and conferences.

  • Analyse membership structure and numbers for planning purposes.

  • Create and maintain our online membership directly. Members decide when they apply whether their profiles will be public or private and available only to other members. This setting can be changed at any time by logging into the website and editing your profile preferences.

LinkedIn, Twitter and Google, whose content appears on our site or whose sites we use to engage with members or collect sign-ups for events and surveys apply their own data collection practices and use third-party cookies (for more see section 6). We use Wufoo to collect sign-ups and payments for events and conferences, entries for our awards, and applications for any scholarships ABSW might offer. We cannot control the activities of third parties, nor control the data they collect and use. We advise you to check these services' privacy policies for further information.

5. Your right to withhold information

The public areas of our website do not require visitors to input any data at all and stores only information regarding your current visit. The restricted portions of the website require personalised login, and access is granted only to ABSW members, who must submit personal information in the process of applying for and maintaining membership.

6. Our use of cookies

Our site may place and access certain first-party cookies on your device; these are placed directly by us and are used only by us. We use cookies solely to facilitate and improve your experience of our site and to provide and improve our services. We do not use cookies to collect personal information without your permission or sell the information we collect to third parties or pay sales commissions (for example, through affiliate links).

By using our site you may also receive certain third-party cookies on your computer or device, placed by outside companies whose services we use. Third-party cookies are placed on our site in the process of displaying our social media feeds from Facebook and Twitter, which in turn collect visitor information for their own purposes. Finally, the search facility for our site is provided by the open source content management system Joomla, which retains no personal data.

Numerous privacy-enhancing browser plug-ins (such as the Electronic Frontier Foundations Privacy Badger) are available to enable you to restrict the use of third-party cookies.

7. Your rights

As a data subject, you have the specified rights under the GDPR and the new UK Data Protection Act 2018 (once adopted),, which this policy and our use of personal data are intended to uphold. We We follow the guidance of the UK Information Commissioner's office, which sets out your rights.

You have the right to ask for a copy of any of your personal data that we hold. Under the GDPR, no fee is payable and we will provide any and all information in response to your request free of charge. To make such a request, or to register a complaint, click here to contact us. 8. Definitions and interpretation

In this policy, the following terms have the following meanings:

  • “Account” means an account required to access and/or use certain areas and features of our site;

  • “Cookie” means a small text file placed on your computer or device by our site when you visit certain parts of our site and/or when you use certain features of our site. Details of the cookies used by our site are set out in section 6, below;

  • The use of cookies is regulated by the EU ePrivacy Directive and the Privacy in Electronic Communications regulations, which implement it in UK law.

  • “Personal data” means any information relating to a person who can be directly or indirectly identified. In this case, it means personal data that you give to us via our site. This definition shall, where applicable, incorporate the definitions provided in GDPR; and

  • “We/us/our” means the Association of British Science Writers, a company limited by guarantee, registered in England and Wales with Company Number 7376343, whose registered address is ABSW Ltd. 76 Glebe Lane, Barming, Maidstone, Kent, ME16 9BD

15. Changes to our privacy policy

We may change this privacy policy from time to time as required by changes to the law or the service we provide. Any changes will be flagged on our site and notified to our members in the next regular newsletter.
